PDFs allow for standalone PDF files to be added to a collection. End users can view and download PDF files much the same way that they would a book.

To create PDF content, navigate to the PDF section under Content Publishing in the left-hand lefthand navigation menu, then click on “+ Create PDF” button at the top right. In the resulting popup menu, name your PDF content and enter the author’s name. This will bring you to the Details section builder page of your PDF and allow you to start building your content.

The next page will display the name of your PDF in bold. On the right side, you will see three dots, which open the options to edit or delete your PDF asset. Clicking “Edit Details” allows you to add a description for your file, which will appear under “Show PDF Description.”

Uploading or selecting a PDF begins with clicking the “Select asset” button on the right-hand box.

You’ll notice this content type doesn’t have content-readiness tabs. That’s because the builder section is simply uploading your PDF, so all readiness tabs have been rolled into one screen for this content type: the top being the details tab, tags under that to the left, builder to the right, collections under tags, and publish in the top details bar.

Details

The Details section is contained in the top bar under the content’s title. Here, you can upload your icon as well as change the content’s title, author, and description.

To upload an icon, click the “Update” button in the Details bar, then click “Choose File.” In the resulting popup window, find and select the desired image from your computer’s file library. As always, you can use the Cropping tool to change the size and orientation of your icon. Once you’re satisfied with the icon result, click Save Icon.

To edit the content’s title, author, and description, click on the three dots at the top right of the Details bar and select “Edit Details.”

Tags

To add tags to your content, click into the field in the Category Tags section. This will display a dropdown listing all available categories to tag your content with. To add a tag, click on the radio button to the left of the tag in the dropdown menu. To remove a tag, click the “X” to the left of the tag’s name in that same field.

Builder

The Builder section or “Media Asset” section allows you to upload or select a PDF for your content. To add a PDF media asset, click the “Select asset” button.

The resulting popup begins on the “Select an existing PDF” tab and displays all available PDFs associated with this collection for selection (click the radio button to the right of the search bar to include media assets shared from other collections). To select a PDF for use, either navigate through the pages of media assets or use the search bar at the top to locate the media item, then click on the desired media. This will display a preview of the media item selected. If that is the correct document, click “Use selected media”; if it’s not correct, you can either click “Cancel” or “Select a different asset…” Clicking “Select a different asset…” will return you to the media listing.

Note: PLEASE use the search bar under the “Select existing Media Asset” section to search for your media asset before uploading a new one to prevent multiple copies of large media files.

If you are selecting an existing PDF, you can search for the file by title and click “Use selected media.” A preview will display, and you can choose to select a different asset, cancel, or use the selected media. Uploading a new PDF requires you to upload the document from your computer using media asset does not exist in your branch, you can upload a new PDF for use. To do so, click the “Upload a new pdf” tab, then click the “Select File” button and providing a title. An . In the resulting popup window, select the desired media to upload. Give the media an asset title (internal title used in the media asset library; an option to “Automagically set file name as asset title” will appear appears in blue to simplify the process. Clicking “Create a ), then click “Create new pdf asset” will take you back to the builder, where the file will now appear with a “Last updated” watermark.

Above the Media Asset box, you will see a description of your file with the option to publish. Publishing requires an uploaded asset and linking it to a collection, but there are additional options to enhance the visibility of your file.

The top task bar displays the author and status for the file, and it allows you to add an icon and publish the file. To add an icon, click the “Update” button, choose a file, and crop it as necessary. Click “Save Icon”, and the icon will now display where the grey camera icon was previously defaulted. (Adding an icon is not required, but it is recommended.)

The Category Tags dropdown allows you to add tags to the file which will enhance the retrievability of that file. You can add as many tags as you like, and they will populate in that space. To remove a tag, simply click the “X” button to the left of the category title.attach the newly uploaded PDF to your content.

Collections

The file must be linked to a at least one collection before it can be published. Clicking the “Link” button in the Linked Collections section will open a popup window displaying the available collections with icons, team ID, and a blue button to link your PDF to that collection. Any collections chosen will populate under Linked Collections, and they can be unlinked by simply clicking the red icon to the right.

Publish

The Publish button is actually located at the top in the Details bar. The Publish button remains grayed out until all requirements to publish have been met. Once all requirements have been met, the Publish button will turn green and allow you to publish your content.
