Instructor Functions



THE INSTRUCTOR PORTAL allows you to perform all instructor duties involving courses and assessments, including creating class instances, inviting learners, and viewing class rosters, analytics, and scores.

To get to the Instructor Panel, click on the six squares in the top lefthand corner of the top navigation bar on any screen to reveal the dropdown menu and click on “Instructor.”


Basic Overview

To access the Instructor Portal, you must be added to at least one instructor team as either:

  • Instructor Lead: Can perform any task associated with the Instructor Portal, including adding new team members, changing members' roles, and deleting team members from the team.

  • Instructor: Can perform most tasks associated with the Instructor Portal but CANNOT add new members, change members' roles, or delete members.

Dashboard

Instructor Team

Instructors and Instructor Leads can be members of multiple instructor teams. To switch between instructor teams (each team has its own associated classes and learner data), click the dropdown in the center of the Instructor Portal header navigation bar and select the desired team.

Instructor Dashboard

The Instructor dashboard is the first screen you’ll be taken to upon entering the Instructor Panel. The dashboard defaults to the “Classes” dashboard, which displays a “Class Enrollments Overview” with analytics on learners broken down into the following categories, based on students:

  • Invited: Learners added to a class roster who have not yet registered.

  • Accepted: Learners who have successfully registered for a class.

  • In Progress: Learners who have completed some but not all of a class’s content (displays as a percentage bar).

  • Content Completed: Learners who have completed all the content but not taken the final assessment (if available).

  • Passed: Learners who have completed all of the course content and passed the assessment.

  • Failed: Learners who have completed all of the course content but failed the assessment.

  • Completed: Learners who have completed all of the requirements for the class and been marked complete by an instructor.

Each of these categories can be filtered in and out of the Class Enrollments Overview data by clicking the learner state you wish to filter in or out. A learner state will display with a strikethrough line if it is currently being filtered out of the data.

The Instructor Dashboard data can be manipulated several ways using the following filters:

  • Filter by Content: This allows instructors to filter instructor analytics by course content. Using the dropdown, select the desired course to filter by. This will display analytics for all class instances created using that course content. Clicking the name of any class listed will open the class’s details page.

  • Filter by Class State: This allows instructors to filter by current (open) classes, closed classes, or all classes.

  • Filter by Management Type: This allows instructors to filter by Instructor Led, Self Directed, or All Management Types.

  • Alphabetically: Clicking the “Class” column header in the Classes section will toggle between listing classes alphabetically from a-z or from z-a.

  • Class State: Clicking the “Class State” column header in the Classes section will toggle between current and closed class states.

  • Summaries: Clicking the “Summaries” column header in the Classes section will display a popup allowing instructors to select which learner state to filter the class summaries by.

Below the class enrollment data are all of the class instances within the branch, including the class name, the collection/team it’s associated with, enrollment dates, whether the course is currently open or closed, and analytics on percentage of learners who have completed the class.

Clicking on any class will take you to the class’s details page, which displays all the learners invited to participate, their progress level, and a menu to remove a learner, resend an invitation, or mark a learner “Complete.” You can also access the class’s registration code by clicking “View more details” under the enrollment dates near the top left.

Inviting learners can also be accomplished from this section, which is discussed below in the “Inviting Learners” section.

Learner Dashboard

The Learners dashboard is accessed by toggling from “Classes” to “Learners” in the top left-hand corner of the dashboard—underneath the top navigation bar and right of the lefthand navigation bar—and displays all of the learners who have been invited to participate in any class in the branch. Included in each listing is the learner’s class, their progress bar (invited, accepted, or percent complete), and a drop-down menu to remove the learner or resend the invitation.

The “Filter by Content” drop-down allows you to sort learners by course content. The toggle icon at the far-right of the Learners section allows instructors to filter learners by learner state.

Clicking on any individual learner opens a learner record pop-up, which displays their e-mail address and tabs for viewing their active and completed classes, including dates of enrollment and status.

Any list of learners can be exported to CSV using the button on the top-right of the interface. Clicking this button will display a popup window allowing you to choose an optional date range, choose to include user registration fields or not, and name the CSV file before downloading.


Class Management

Creating a Class Instance

To Create a Class Instance, navigate to the Classes section under Team Resources in the lefthand navigation menu and click the “+Create Class” button near the top right.

Clicking “+Create Class” will result in a popup screen that allows you to select a published course in the branch around which to create a class instance. To select a course, either scroll through the available courses or use the search feature in the top right corner by clicking on the magnifying glass and typing the course’s name, then click on the desired course you wish to build a class instance with.

After selecting a course, another popup screen will allow you to create your class instance. To do so, you must name your class, set a start and end date (optional), add a class description (optional), and click save at the bottom right of the popup window. This will take you to the new class’s details page where you can start to invite learners.

Inviting Learners

To invite learners to a class instance, navigate to the class instance you wish to invite the learner to by either creating a new class instance (which will take you to the details screen) or finding and clicking on the class either in the dashboard or in the classes section. Once in the correct class instance, there are two ways to invite learners:

Create a Class Roster

If you have a complete list of all the participants, you can create a class roster by inviting your learners first. This will add all of the learners to the class roster as “Invited,” allowing you to keep track of who has or hasn’t registered. To create a class roster, click the “+Invite Learners” button.

Note: To invite learners to a class, you will need to use your own email service to email the learners the class description and registration code. Don’t worry, we provide an easy copy/paste system to simplify the process!

Clicking “+Invite Learners” will display a popup page to enter the email addresses associated with the learners you wish to invite. You can type them into the dialogue box by hand (making sure to separate each email address with a semicolon) or copy/paste a list of learners’ email addresses all at once (again, make sure the email addresses are listed on one line and separated by a semicolon). Once all the learners’ email addresses have been listed, click “Next” in the bottom right of the popup window.

Clicking “Next” will display another popup window with all the learners’ email addresses. Click the clipboard icon in the top right-hand corner of the display box to copy all of the learners’ email addresses, then navigate to your email service of choice, compose a new message, and paste the email addresses into the new message.

Tip: Paste the learners’ email addresses in the BCC section to hide the email addresses from the other learners.

After you’ve copied the email addresses to your email service’s new message, navigate back to Capillary and click the “Next” button at the bottom right-hand corner of the popup window.

Clicking “Next” will display another popup window with another display box containing a pre-written message complete with the course name, instructor, and registration code for the class. Click the clipboard icon in the top right-hand corner of the display box to copy the pre-written message, then navigate back to your email service and paste the text in the body of the new message.

Tip: Once pasted into the body of your email, you may customize the message in any way that you’d like—just make sure not to delete or change the class instance name, instructor, and registration code.

After pasting the text and customizing the message (optional) to your liking, hit send on the email, then navigate back to Capillary and click the “Done” button at the bottom righthand corner of the popup window. Congratulations! You just created a class and invited learners to participate.

Providing the Registration Code

You can also build a class roster by simply providing the registration code to learners and having them register whenever. The registration code is unique for each class instance and can be found in the “View more details” section of the class details header. A learner registering for a class automatically adds that learner to the class roster as “Accepted.” You can provide the registration code however you choose (written on a whiteboard, email, text, etc.).

Potential Issues

Issue

Solution

Learner never received notification about class or registration code.

Make sure you’ve sent an email to your class roster that includes the registration code. The Creator doesn’t alert class roster invitees, so instructors must email their learners from their preferred email client.

Registration code isn’t working.

This could result from two separate issues.

  1. Make sure the learner is signed into the app with the same email address that the instructor submitted when inviting the learner.

  2. Make sure the learner is using the exact registration code for the particular class in question. Learners may attempt to register for a class with the wrong registration code (e.g., a buddy in a similar class but wrong instance gives the learner their registration code) or type in the wrong registration code.

Creating Assessments

Assessments are built in the Creator while building a course. Click here to navigate to that section.

Monitoring Learner Progress

Instructors have the ability to monitor learner’s progress within the Instructor Portal.

To monitor learners within a class, navigate to the Classes section of the Instructor panel and click on the desired class to move to the class’s details page. The class’s details page lists all the learners added to the class and displays each learner’s current progress level.

You can also monitor learners' progress from the Learners section in the lefthand navigation menu or the Learners tab in the Instructor Dashboard. To monitor a learner’s progress in a particular class, simply click the learner’s name to reveal their learner record and find the desired class, which will display their progress in that class.

Marking a Learner Complete

Once a learner completes a class, the instructor must mark the learner complete in the class before the learner can receive their certificate of completion.

To mark a learner complete, instructors must navigate to the particular class instance, find the desired learner to mark complete, click the ellipses (…) to the right of the learner’s name, and select “Mark Complete.” Once a learner has been marked complete, that course will move to the Completed section of their courses page. To view the certificate of completion, a learner will click on the completed course within their app and select View Completion Certificate.

Removing a Learner

To remove a learner from a class (cannot be in the “Complete” state), navigate to the desired class details page, click the ellipses (…) to the right of the learner’s name, and select “Delete Learner.”

Deleting a Class

Instructors can delete class instances as long as there are no learners added to the class roster (learners can be deleted to achieve this scenario as long as they haven’t been marked “Complete” yet). To delete a class, make sure there are no learners listed in the class roster, click the vertical ellipses at the top right of the class details header, and select “Delete Class.”

Marking a Class Complete

Once a class has been completed, you can mark the class complete, which closes the class. Closing a class means learners can no longer make progress on the material or be marked complete to receive their certificate, but course content will remain available for review forever.

A closed class cannot be reopened, so make sure that all desired actions have been completed in your class before closing it.

Exporting Learners to CSV

Instructors have the ability to export class data to a CSV file. To do so, click the vertical ellipses at the top right of the class details header and select “Export Learners to CSV.” The resulting popup window provides the option to include user registration fields or not and allows you to change the name of the file before downloading.


Learners

The Learners section displays all learners who have registered for at least one class and includes their name, their most recent class name, the content it’s built from, and their progress level. The ellipses to the right of the learner’s name allows instructors to either remove the learner or resend their invitation.

If a learner’s name is linked, clicking their name will open a learner record popup window displaying their name, email, and all active and completed classes as well as their learner state associated with that class. Clicking the linked title of any class will open that class’s details page.

The Learners section can be filtered by course content using the dropdown at the top left or by learner state using the toggle icon at the top right of the Learners area.


Members

The Members section of the Instructor Portal displays all of the Instructors and Instructor Leads for the current Instructor Team as well as their associated name, role, and email address.

Instructor Leads have the ability to:

  • Add new members using the “+ Invite Member” button at the top right. Clicking that button displays a popup window requiring the new member’s email address and role before sending the invitation.

  • Change a team members' role by clicking the dropdown under the Role column to the right of their name and selecting the new role from the choices.

  • Remove a team member by clicking the icon under the Remove column to the right of the associated team member’s name.

Pending Invitations

The Pending Invitations tab displays all of the pending invitations for membership to the Instructor Team, including the invitee’s email address, role, who invited them, and an option to delete the invitation.
